Privacy & Cookie Policy

How Greenpace Services Limited collects, uses and protects your information. Last updated October 2026.

01Who we are

This website is run by Greenpace Services Limited (“Greenpace”, “we”, “us”), a company registered in England and Wales (Company No. 12990643), with its registered office at 333 Edgware Road, London, NW9 6TD. We are the controller of the personal information described in this policy.

If you have any questions about this policy or your information, email us at mail@greenpace.co.uk or call 0208 906 6284.

02Information we collect

We only collect the information we need to respond to you and provide our services:

  • Contact form: your name, email address, phone number (optional), the service you are interested in and your message, which may include property addresses and access details.
  • Email, phone and WhatsApp: the details you choose to share with us when you get in touch, such as your name, contact details and information about your property.
  • Providing our services: details needed to carry out inspections and issue certificates, such as property addresses, access arrangements, tenant or occupier contact details and the results of the work we carry out.
  • Website use: if you accept analytics cookies, anonymous information about how you use this website (see “Cookies” below).

03How we use your information

We use your information to:

  • respond to your enquiry and provide quotes;
  • arrange, carry out and report on the services you instruct us to provide, including issuing certificates and reports;
  • keep records of the work we have carried out and remind you when certificates are due for renewal;
  • meet our legal, insurance, tax and accounting obligations;
  • understand how our website is used so we can improve it (only if you accept analytics cookies).

We do not sell your information, and we do not use it for marketing to you without your permission.

04Our legal basis

Under UK data protection law, we rely on the following legal bases:

  • Contract: where we need your information to provide a quote or carry out services you have asked for.
  • Legitimate interests: to respond to enquiries, run our business and keep appropriate records, where this does not override your rights.
  • Legal obligation: where we must keep records, for example for tax, accounting or compliance purposes.
  • Consent: for analytics cookies. You can withdraw consent at any time using the “Cookie settings” link at the bottom of every page.

05Who we share it with

We share your information only where necessary, with:

  • our engineers and specialist contractors, so they can carry out the work you have instructed;
  • our website host (Hostinger), which stores contact form submissions on our website;
  • our email and IT service providers;
  • Google, which provides reCAPTCHA spam protection on our contact form and, if you accept analytics cookies, Google Analytics;
  • WhatsApp (Meta), if you choose to contact us that way;
  • local authorities, regulators or other parties where we are required by law, or where you ask us to (for example, sending a certificate to your managing agent).

Some of these providers may process information outside the UK. Where they do, appropriate safeguards are in place as required by UK data protection law.

06How long we keep it

We keep your information only for as long as we need it for the purposes above. Enquiries that do not lead to work are normally deleted within two years. Records of work we have carried out, including certificates and reports, are normally kept for at least six years so we can meet our legal, insurance and accounting obligations and help you with your compliance history. We then securely delete or anonymise information we no longer need.

07Cookies

Cookies are small files stored on your device when you visit a website.

  • Essential: needed for the website to work and stay secure, including Google reCAPTCHA, which protects our contact form from spam, and a cookie that remembers your cookie choice. These do not require consent.
  • Analytics (optional): Google Analytics helps us understand how visitors use our website, such as which pages are viewed. These cookies are only set if you click “Accept” on our cookie banner.

You can change your choice at any time using the Cookie settings link at the bottom of every page, or by clearing cookies in your browser.

08Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, or restrict how we use it;
  • object to us using your information based on our legitimate interests;
  • withdraw your consent at any time, where we rely on consent;
  • ask us to transfer your information to another organisation.

To make a request, email mail@greenpace.co.uk. We will respond within one month.

09Keeping your information safe

We use appropriate technical and organisational measures to protect your information, including secure, password-protected systems and limiting access to those who need it.

10Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
